What is the Submission System?
The Submission System is a secure, collaborative platform designed to streamline the submission of data and associated information to LCSB and ELIXIR-LU infrastructures. It supports contributors and Data Stewards through a guided multi-step workflow covering metadata collection, file transfer, review, communication, and final approval.
Purpose & Goals
The Submission System enables the submission of data for multiple purposes, including use within LCSB research projects and for data hosting and reuse under ELIXIR-Luxembourg (ELIXIR-LU). The platform supports submissions from LCSB personnel as well as external collaborators and institutions, ensuring that data and associated metadata are captured in a structured, traceable, and harmonised manner.

How the Submission Process Works
The Submission System provides a clear, steward-led workflow for transferring data to the receiving institution. To begin a submission, data providers first contact the LCSB Data Stewards, who initiate and manage the submission within the platform. Each step of the workflow is designed to ensure clarity, security, and traceability. Throughout the process, submitters and data stewards can communicate, exchange files, and receive notifications.
1. Contact the LCSB Data Stewards
In order to initiate a data submission, the data provider must first contact the LCSB Data Stewards by email at lcsb-datastewards@uni.lu. The Data Stewards will assess the request and guide the next steps.
2. Initiation by Data Steward
Your assigned data steward begins the process by creating a submission tailored to your specific project. You will receive an email invitation with instructions and a link to access the submission form. This personalized approach ensures that all necessary information and requirements are included from the start.
3. Metadata Entry
Complete the guided forms with detailed information about your study, dataset, and related context.
You can freely navigate between sections, update entries, and add attachments such as supplementary documents.
At this step, the submitter is fully accountable for the accuracy and completeness of the information provided.
Ensure that all details are correct, as this information forms the basis for review, dataset approval, and downstream use.
4. Metadata Review and Approval
Once submitted, your metadata is reviewed by the data steward for completeness, accuracy, and adherence to platform standards. The data steward may request clarifications or suggest updates. You are notified of every review action and can communicate directly through the platform, exchanging messages and additional attachments as needed. This ensures a transparent, traceable discussion linked to your submission.
5. Data Upload
After metadata approval, securely upload your dataset files using one of the integrated data transfer channels. Uploaded files remain linked to your submission and are protected throughout transfer, ensuring both integrity and security. Notifications are sent when uploads are complete or if any issues arise.
6. Final Data Verification and Approval
The data steward performs a final verification of your uploaded files, checking for completeness and correctness. Once everything meets the platform’s standards, your submission is approved. You receive a final confirmation and notifications summarising all actions taken throughout the process, providing a full record of your submission journey.
This platform, developed at the LCSB and powered by ELIXIR-LU, offers a secure, transparent, and collaborative submission experience for all users.
